The Body Lab Concierge: Terms & Policies

Booking and Cancellation Policies

Booking Window

  • Sessions may be booked up to 4 weeks in advance.

  • Same-day bookings are accepted with a minimum notice of 4 hours.

Session Duration & Start Times

  • Please arrive on time. Sessions end at the scheduled time, regardless of late arrival.

  • A 5-minute grace period is allowed. Beyond this, the session may be shortened to stay on schedule.

24-Hour Cancellation Policy

  • Cancellations or reschedules must be made at least 24 hours before your appointment to avoid fees.

  • All changes must be made through the booking system (website or app). We cannot process cancellations via text, DM, or email.

Late Cancellation Policy

  • Any cancellation or reschedule made within 12 hours of your appointment will be charged the full session rate.

  • This includes evening cancellations for next-morning sessions, as these openings cannot reliably be rebooked.

No-Show Policy

  • Failure to attend your scheduled session without notice will be charged the full session rate.

First-Time Clients

  • Please allow 1 full hour for your introductory EMS session to accommodate consultation, setup, and training.

Sick Cancellation Policy

  • If you are unwell, please notify us as early as possible.

  • Cancellations due to illness made with notice will not incur a fee.

  • Same-day sick cancellations may be rescheduled without a fee when you notify us promptly.

  • In certain cases, a doctor’s note may be required for a refund on sick-related cancellations.

  • Please do not attend sessions if experiencing symptoms of illness.

Payment Policy

  • Payment is required at the time of booking.

  • Packages must be paid in full upon purchase.

  • We accept all major credit cards, Venmo, PayPal, and Zelle.

  • Purchased sessions are non-refundable and non-transferable.

  • Packages expire 3 months from the date of purchase.

  • Clients with outstanding balances must settle their account before training.

Membership & Subscription

  • Members receive one 20-minute EMS session per month at a discounted rate of $135.

  • Subscriptions auto-renew monthly on the date of purchase.

  • A valid credit card is required; no contract.

  • Accounts may be placed on hold for travel, holidays, or special circumstances with advance notice.

Guest & Transfer Policy

  • Sessions and packages are non-transferable and may not be shared.

  • Guests are welcome only with an approved guest pass.

  • No third-party trainers are allowed in our studios.

Waitlist & Priority

  • Join the waitlist if your preferred time is full; you will be notified if a slot opens.

  • Clients with active 3-month memberships receive priority booking.

Health & Safety

  • All clients must complete a health declaration prior to their first session and update it if their health changes.

  • Please reschedule if you are unwell to protect your health and our staff.

Studio Etiquette

  • Be ready to begin at your scheduled time. Appointments may be canceled without refund if you are more than 20 minutes late.

  • You are responsible for personal belongings. The Body Lab Concierge is not liable for lost or stolen items.

Compliments & Complaints

  • We welcome your feedback. Please email us with any compliments, concerns, or suggestions.

General Policies

  • The Body Lab Concierge reserves the right to change or cancel sessions with reasonable notice. Affected sessions will be credited.

  • We may refuse service or cancel memberships at our discretion.

  • Business hours are subject to change.
